Xero or Sage? How to choose cloud accounting software for a South African small business
There is no best accounting software, only the best fit. Choose by what your business needs, whether your accountant supports it, and whether it connects to your bank, then set it up properly on day one.

Setting it up properly
- Chart of accounts. Agree one list of accounts with your accountant and stick to it.
- Opening balances. Load the closing position from your last financial statements.
- Bank feeds. Connect every business account and card, and keep personal spending out.
- VAT settings. Set your VAT registration and filing frequency correctly from the start.
- Users and permissions. Give each person the access their role needs, and no more.
- Lock dates. Lock closed periods so reconciled months do not change.
Switching from spreadsheets or another system
Moving usually means loading opening balances and sometimes history, mapping the old chart of accounts to the new one, and running both systems for a short overlap. The time it takes depends on how clean the old data is. Plan the move for the start of a VAT period or financial year so the cut-off is clear.
Mistakes to avoid
- Choosing on price and discovering your accountant cannot support it.
- Letting everyone create new accounts, so reports stop making sense.
- Skipping reconciliations because the feed “looks right”.
