Privacy notice (POPIA)

1. Who we are

This notice explains how TBL Business Services (Pty) Ltd ("TBL Accounting", "we", "us") processes personal information through this website. We are part of The Caban Group. We are the "responsible party" under the Protection of Personal Information Act 4 of 2013 (POPIA).

You can contact us at info@tblaccounting.co.za or on WhatsApp at +27 81 855 0714. Our Information Officer receives messages sent to that email address. Please mark your message "Information Officer".

2. What we collect

  • Enquiry details. When you use our contact form, we collect your name, email address and any message you choose to write. You give us this directly. Providing it is voluntary, but we cannot respond to an enquiry without a name and an email address.
  • Messages you send us. If you email, phone or message us on WhatsApp, we keep the details you give us.
  • Technical data. Our website host processes standard server logs (such as your IP address, browser type and the pages requested) so that the site can be delivered and kept secure.

We do not currently use advertising or tracking cookies on this website.

3. Why we use it

  • To respond to your enquiry and arrange a call (you have asked us to contact you).
  • To operate, secure and improve this website (our legitimate interest).
  • To meet legal and professional obligations, if you become a client.

4. Who we share it with

We share personal information only with service providers who process it on our behalf, such as our website hosting and form-handling provider (Netlify) and our email and communications providers, and with professional advisers or authorities where the law requires or allows it. Enquiries sent through the contact form are forwarded by email to our team. We will introduce you to Caban Corporate Advisors only if you ask us to, or where it is clear that your enquiry concerns a transaction and you agree.

5. Transfers outside South Africa

Some of our providers, including Netlify, are based in or store information in countries outside South Africa, including the United States. We transfer personal information outside South Africa only where POPIA allows it: where the recipient is bound by law, binding corporate rules or an agreement that gives protection substantially similar to POPIA; where you consent; or where the transfer is necessary to carry out a contract with you or steps you asked for before a contract. Fonts on this website are hosted on our own server, so loading a page does not send your IP address to a font provider.

6. How long we keep it

We keep enquiry details only for as long as needed to deal with your enquiry and for our legitimate record-keeping. We then delete or de-identify them, unless the law requires us to keep them. If you become a client, we keep records for the periods that tax and company law require, which for tax records is five years and for company records is seven years.

7. How we protect it

We take reasonable technical and organisational measures to keep personal information secure, as required by section 19 of POPIA. If a security compromise affects your information, we will tell you and the Information Regulator as POPIA requires.

8. Your rights

You may ask us to confirm whether we hold personal information about you, to give you access to it, to correct or delete it, and you may object to our processing or withdraw your consent. To do so, email our Information Officer at info@tblaccounting.co.za.

9. Complaints

If you are unhappy with how we have handled your personal information, you may complain to the Information Regulator (South Africa): POPIAComplaints@inforegulator.org.za, telephone 010 023 5200, inforegulator.org.za. Its offices are at Woodmead North Office Park, 54 Maxwell Drive, Woodmead, Johannesburg, 2191.

10. Cookies

This website does not currently set advertising or tracking cookies. If we add analytics or marketing tools in future, we will update this notice and ask for your consent where required.

11. Changes

We may update this notice from time to time. The date of the latest version appears at the top of this page.
